<p>1.	Jim Ash called the meeting to order.</p>
<p>2.	Julie Battles presented the tallies from the ballots.  There was a discussion regarding open board positions (secretary and social chairperson)  Without anyone to step in as Secretary – Rochelle Rupp had agreed to continue in that role again this year.  Jim Ash called for the approval of the 2012 board members, Tanya Ash seconded.<br />

<p>3.  Treasurer’s Report:<br />
	Julie Battles reported that to date 44% of dues have been collected and 	58 proxies have been collected.  So far there have been 56 votes 	approving the change to the Bylaws and 2 “no” votes.  $8,900 in dues 	have been collected and so far the only expenditures for the year have 	been for water and electric, postage, copies and removal of x-mas lights.</p>
<p>4.	Landscape Committee’s Report:<br />
	Tanya Ash reported that we had two bids for the neighborhood 	landscaping contract (Buckeye and Peabody Landscape).  The bids were 	within $170 of each other but incidental expenses (cost of light bulb 	replacement and sprinkler repair) made Buckeye Landscape a more 	preferred contract.  Jim Ash called for a vote to approve Buckeye 	Landscape as our neighborhood Landscaper and the board approved.<br />
	Tanya Ash presented the landscape committee’s agenda for 2012.  The 	plan is to improve the four islands (Avocet, Touraco, Wigeon and Enke) 	since the spruce trees have grown through the shrubs.  The landscape 	committee will meet with landscapers as well as those homeowner’s 	living on the courts to develop a plan of how they would like their islands 	to look and will get bids on improving same.  The committee also plans to 	improve the Brand road entrance by planting perennials and reducing the 	amount of annuals needed each year.  They would also like to replace two 	serviceberry trees to the left of the entrance that were chopped down by 	the city years ago with the stumps left in.  The committee also plans to get 	bids on power washing the entrance signs (rocks).<br />
	Tanya explained Dublin’s Neighborhood Beautification Grant program and 	suggested improvements that would fit into the city’s goal of improving 	areas of Dublin visible from the main roads.  If we can come up with a plan 	and can show Dublin that we can maintain the improvements and that we 	have homeowner support and volunteers to help make the improvements 	we can apply for a grant where they will match the funds we put into it.  	Tanya asked for feedback from those in attendance and everyone thought 	it was a good idea.  The board will move forward with getting designs and 	cost estimates and plans to apply for the grant in 2013.  The board will 	post the proposed plans to the website for community feedback.<br />
	There was a discussion regarding vandalism of the holiday lights at the 	entrances and a discussion regarding the costs of decorating for the 	holidays vs. the benefits.  All those in attendance agreed that the benefits 	outweighed the costs and that we should continue to decorate the 	entrances for the holidays.  The Ash’s will continue to store the lights in 	order to save costs.<br />
	Kathy Tagliaferri reported that she was able to get the City of Dublin to 	treat the Ash trees on Quetzal Drive (street trees) at no cost to HNHA last 	year.  She will look into contacting the city to see if they will agree to treat 	the trees again this year.</p>
<p>5.	Jim Ash asked for a discussion on what to do about the Social committee portion of the budget since we do not have a Social Committee chairperson this year.  There was a discussion about whether to have neighborhood social events or not.  Elaine Borcherding stated that one of the things that attracted her to our neighborhood was the mention of social events especially those involving children’s activities on our website.  Tanya agreed that having these types of events were a positive element of our neighborhood.  It was suggested that we handle the events on an individual basis asking for volunteers to help out on each event individually.  It was suggested that we send out an e-mail asking for interest in:<br />

	Happy Hours<br />
	Easter Egg Hunt<br />
	Sunny 95 neighborhood party – see if they will agree to host it again<br />
	Holiday caroling party<br />
	The board decided that in the future there would be a charge associated 	with each event in order to maintain social events.  </p>
<p>6.	The meeting was adjourned.</p>
<p>7.	The next meeting will be held the last Monday in April at 7:00 at the Ash’s house. </p>

<p>1.	Tanya Ash called the meeting to order.<br />
2.	There were eight delinquent dues as of May 19. Five homeowners paid as of June 27. Three homeowners were given the opportunity to appear before the board at the June 27, 2011 meeting to discuss the delinquent dues, but they did not come.  Bruce Curry will prepare the liens for the three delinquent homeowners and file after July 5th.<br />
3.	The board is considering updating and simplifying the neighborhoods By-Laws.  The board will review the HNHA regulations against the city of Dublin’s deed restrictions. The board will create revised By-Laws for approval.<br />
4.	The 2011 budget was reviewed.<br />
5.	Debbie Scheetz is planning an ice cream social for August 19.  Rochelle will get estimates for ice cream. Rochelle will contact city of Dublin for the picnic cart.<br />
6.	The meeting was adjourned. </p>

4.	After reviewing all landscaping bids, JV Landscaping was chosen for the job.<br />

2011 Hawk’s Nest Homeowners Association Board<br />

<p>3. Budget &#8211; Planned expenditures in 2011.<br />
• All 208 mailboxes need to be stained this summer. It was proposed that Hawk’s Nest student residents, ages 14-17, be given the opportunity to do a mailbox route. Students will be offered $10/box with an estimated cost of labor at $2,080. Estimated cost of stain, brushes, and numbers is $600. When the program is unveiled to residents, interested students should contact Tanya Ash for route assignments and materials. Students will be responsible for removing exterior debris from boxes, removing numbers (but not nail holes), staining the box and post, re-tacking the numbers, and submitting the approved invoice for each box stained. Board Members will inspect first few completed mailboxes to be sure students are doing an acceptable job.</p>
<p>• In May, all 50 ash trees need to be treated at an estimated cost of $1,000. The board will ask the City of Dublin for financial assistance for this project. There is no guarantee that the treatment will save the trees.</p>
<p>• Vendors were asked to bid on the 2011 Landscape proposal. The board is waiting for one more bid. The proposal includes weeding, mulching, planting in spring and fall, weed killer, fertilize plants and trees, replacing light bulbs when they burn out, sprinkler system maintenance. We will have a fall planting of flowers at the Brand and Muirfield entrances only. The Jacana entrance will not be planted with flowers this spring/fall due to existing watering challenges.</p>
<p>• The entrance winter light budget is under review and vendors are being asked to submit bids. A storage fee of $300 will be saved in 2011. Spruces are hard to do because they are so tall. An entrance-decorating party was suggested for October 2011 thereby saving the neighborhood the cost for this expense.</p>
<p>4. Social</p>
<p>• Social Committee budget: No more than 10% of total HNA budget can go to the social committee. Final numbers will be presented at the next meeting when 2011 budget is approved.</p>
<p>• Debbie Scheetz presented her ideas for the board’s consideration:</p>
<p>a. Earth Day clean up<br />
b. Friday night spaghetti fund raiser dinner for a family in need (springtime)<br />
c. Happy Hour 5-7:00pm with drive-in style movie night – street party. The board will contact Sunny 95 about their neighborhood party/vendor promotion.<br />
d. Sadie Hawkins dance<br />
e. Pie tasting contest and silent audtion.<br />
f. Chili cook-off.<br />
g. Chiller Party<br />
h. Easter Egg Hunt<br />
i. Caroling night<br />
j. Cultural Progressive Dinner<br />
k. July 4th parade participation and neighborhood bike parade</p>

<p>President Update:  Meeting  called to order.  Directories will be printed after an August 15 deadline for  residents to submit changes or additions.</p>
<p>Treasurer Report:  All but  four homeowners have paid current year dues and liens have been filed.</p>
<p>Social Committee Report:   We still have no one that has volunteered to head up the remaining social  events.  Bob Evans will no longer be able to donate brats for the Labor Day  party.  We will be sending an email soliciting volunteers to head up the labor  day and holiday parties.</p>
<p>New Business:  There was  discussion of the electrical issues at the entrances.  Ryan McGraw will make the  appropriate contacts to get the failing lighting issues corrected.  This  maintenance will come out of the landscape budget.</p>
<p>The meeting was adjourned.</p>
<p>Next meeting will be held  October 25, 2010.</p>

<p>Board Members  Present: Wendy Hanley, Ryan McGraw, Tanya Ash, Michelle Hammett, Steve McElroy</p>
<p>President Update:  Meeting  called to order.  Vacancies on the board for the 2010 social committee were  discussed.</p>
<p>Treasurer Report:  90% of  homeowners have paid their annual dues.  Sixteen homes will be receiving lien  letters to date.  The $150 that was budgeted for the Easter egg hunt will be  absorbed into the holiday party, assuming all dues are eventually collected.</p>
<p>Landscape Report:  There  was discussion of the treatment of the ash trees along Quetzal.  This is a  budgeted item and the treatment will take place within the next few weeks.</p>
<p>Social Committee Report:   Bob Evans will be donating brats for the Labor Day picnic per Nancy Cowan.   Sunny 95 will not be able to host the picnic again as they are unable to hold  the event at the same subdivision two years in a row.  We will be soliciting  volunteers for summer happy hours.  As a reminder to all residents, happy hours  do not come our of the HNHA budget.  The board members will be planning the  Labor Day picnic at the July meeting.</p>
<p>New Business:  There was  discussion of going towards electronic directories or printing directories every  other year rather than annually in effort to save money   in lieu of the  uncollected dues to date.  We tabled discussion until the July meeting.</p>
<p>The meeting was adjourned.</p>
<p>Next meeting will be held  July 26, 2010.</p>

<p>Board Members Present: Emily Preble, Patti Drumm, Michelle Atkinson, Wendy  Hanley, Ryan McGraw, Tanya Ash, Michelle Hammett, Steve McElroy</p>
<p>President Update: Meeting called to order and new board members voted in,  meeting turned over to new president. Vacancies on the board for the 2010 social  committee were discussed.</p>
<p>Treasurer Report: The 2010 budget was submitted. It was noted that about 70% of  our actual budget goes to landscaping, 19% goes to professional services to run  the association, and less than 9% is allotted for social functions. The 2010  budget was approved and adopted by all in attendance.</p>
<p>Landscape Report: The 2010 landscape proposal was reviewed and approved by all  in attendance.</p>
<p>Social Committee Report: The current board has decided that the homeowner’s  association will try to sponsor the following social events this calendar year:  the Easter egg hunt in the park, the Friday night Happy Hours at alternating  neighbor’s houses, the Labor Day Party in the Park, and the Holiday Party at the  Dublin Recreation Center. The board agreed to have a community garage sale this  year assuming a volunteer steps forward to coordinate the event. Due to the lack  of a board member in this capacity we will solicit volunteers for each event via  e-mail and word of mouth, prior to each event. The board has planning notes from  previous years that will be helpful for each item on an event by event basis.</p>
<p>New Business: There was no new business.</p>
<p>The meeting was adjourned.</p>
